How to use your prepaid appointment reminder service?

TO OUR NEW CUSTOMERS:Every new prepaid account will have 100 call credits for you to test the service. We offer free online support meeting to all customers to help them set up their accounts and do service demonstration. However, since prepaid reminder service is relatively simple to use, you can also try it out by following this tutorial.   • 1. Check the format of your appointment report.

    If your file type is csv or Excel (xls, or xlsx). If the file consists of multiple data columns with column names on FIRST row, you can import appointments from your report without a customized parser. Follow the instruction section “2. Upload your appointments from an Excel or CSV file.“.

    If your file type is pdf, txt or in irregular format, please send a sample of your appointment report to support@angelspeech.com to request a parser be added to your account. This service is free of charge to you. Our support staff will be working with you to add a parser that is customized to your report’s format. Once a parser is added to your account, you can upload your appointment report automatically by following the instruction section “3. Upload your appointments using customized parser“.

  • 2. Upload your appointments from an Excel or CSV file.

    Click Import Call Records to start this function. You need to browse and locate the the Excel or CSV file from your computer first and click “Submit File” button. You will then answer a few questions to help the uploading wizard to identify the data in your file. Once the data is correctly identified, the wizard will guide you to verify and save the appointments for reminder service.

    An email with the import result will be sent to you. Appointments with old dates, invalid data, or the ones that are duplications to the ones already imported will not be saved.

  • 3. Upload your appointments using customized parser

    Click Import Call Records to start this function. You need to browse and locate the appointment report from your computer first and click “Submit File” button, the wizard will guide you to verify and save the appointments for reminder service.

  • 3. Request “CancelOnReminder” setting be activated

    This feature is disabled by default. If you wish to allow your patients to request cancellation and reschedule of the appointment when they received the reminder call, you can email support to activate the feature. They will be asked over the reminder call if they wish to cancel or reschedule the appointment. Cancellation and reschedule request will be logged on the call log. There will be also an email sent to your account for the same request.

  • 4. Testing your appointment reminder calls.

    The reminder calls are made automatically everyday for the next day appointments. A reminder call will repeat multiple times until it is delivered successfully. Calling time is between 9AM-8PM of your local time. For courtesy reason NO reminder call will be made outside this time range. To make a testing reminder call to yourself, simply upload an appointment for tomorrow and you should expect the reminder call soon.

  • 5. Review your call records

    Click Call Logs on menu bar to review your current or past call records. To view call records in a given date, click the date on the monthly calendar to your left.

    To view your account’s weekly call stat, click on the “WK” link on the calendar.

  • 6. Print your call records or payment history

    While you are on the call log page or payment history page you wish to print, click on the Print menu, choose your preferred print format, you will open a printable page in PDF format with standard printer button.

  • 7. Purchase call credits

    Every prepaid account starts with 100 free call credits which allow you test the service. When you need to add more call credits, click to open My Service Credits page. You can select the total number of calls you wish to purchase and click the Check out with PayPal button. You will be directed to PayPal website where you can make the payment using a credit card (if you do not have PayPal account) or your PayPal account.

  • 8. How to customize your reminder call

    The reminder calls will be delivered using natural voice pre-recorded by our voice actress. You can import a note from your file. The notes will be read by Text-To-Speech over the reminder call. You can also import language indicator for each appointment. The supported language is EN (English), ES(Spanish), FR (French) and ZH (Chinese).
